I\u2019ve been teaching workflows and systems to creative entrepreneurs for YEARS now &#8211; and this is my absolute JAM.&nbsp;<\/span><\/p>\n\n\n\n<p><span style=\"font-weight: 400;\">But first, I want to walk you through an analogy of how (and why) you need to create workflows.<\/span><\/p>\n\n\n\n<p><span style=\"font-weight: 400;\">I want you to imagine you\u2019re going on vacation. (YAY!)&nbsp;<\/span><\/p>\n\n\n\n<p><span style=\"font-weight: 400;\">And you have all these different phases of making that happen. There\u2019s the planning phase, the packing phase, the travel day, the vacation itself, the travel home, and the unpacking phase (laundry &#8211; BLEH!).&nbsp;<\/span><\/p>\n\n\n\n<p><span style=\"font-weight: 400;\">In each phase of your vacation planning (and doing) &#8211; you have things that need to get done. Travel that needs to be booked, itineraries and plans to be made, decisions to be made, and more.&nbsp;<\/span><\/p>\n\n\n\n<p><span style=\"font-weight: 400;\">Every phase has its own set of things that need to get done (tasks). You need to decide travel dates and when you\u2019re going to book by (due dates). You need to decide who\u2019s going with you and who\u2019s responsible to book things (assignees). You need to figure out how you\u2019re getting there (and what the most efficient method of travel is) and you need to figure out what fun things you\u2019re going to do to make your trip memorable (adding value to your client experience).<\/span><\/p>\n\n\n\n<p><span style=\"font-weight: 400;\">Then &#8211; let\u2019s assume you come home from the BEST VACATION EVER and your best friend asks you EXACTLY what you did. Where did you eat? Where did you stay? What airline did you take? How many days did you go? What season?<\/span><\/p>\n\n\n\n<p><span style=\"font-weight: 400;\">She has so many questions and you don\u2019t want her to miss anything important so you write her an itinerary and plan to essentially, replicate your vacation: you give her the packing list, the itinerary, restaurants, travel tips, and more and then SHE goes and has the best vacation ever cause she followed your advice and plan to a T.<\/span><\/p>\n\n\n\n<p><span style=\"font-weight: 400;\">This is JUST like creating a workflow for your business. For most businesses, we can create a repeatable system and workflow that we follow for literally <\/span><i><span style=\"font-weight: 400;\">every single client<\/span><\/i><span style=\"font-weight: 400;\">. (You\u2019ll have different workflows for each service you offer!) but I want you to think of this as your A-Z step-by-step plan for completing a project or service for a client.&nbsp;<\/span><\/p>\n\n\n\n<p><span style=\"font-weight: 400;\">You\u2019ll have phases of your workflow (the inquiry phase, booking phase, onboarding phase, planning phase, etc.) and you\u2019ll have tasks, due dates, assignees, client experience, and more in each phase. Just like you would if you were planning a vacation!<\/span><\/p>\n\n\n\n<p><span style=\"font-weight: 400;\">Make sense?? Good!<\/span><\/p>\n\n\n\n<p><span style=\"font-weight: 400;\">So if you\u2019re new to the concept of workflows, buckle up because they WILL 10000% change your life when done right. So, now that that analogy is out of the way\u2026 let\u2019s discuss what you need.<\/span><\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><b>The Top Things Every Business Workflow Needs<\/b><\/h2>\n\n\n\n<h3 class=\"wp-block-heading\"><b>Let\u2019s dive into what makes a GREAT workflow:<\/b><\/h3>\n\n\n\n<ul class=\"wp-block-list\"><li><span style=\"font-weight: 400;\">It\u2019s repeatable across all clients<\/span><\/li><li><span style=\"font-weight: 400;\">It\u2019s easy to follow for you or someone on your team<\/span><\/li><li><span style=\"font-weight: 400;\">It\u2019s automated in a <a href=\"https:\/\/hbbadmin.dev.reliablepenguin.com\/workflows\">client workflow automation software<\/a><\/span> <span style=\"font-weight: 400;\">CRM like <\/span><a rel=\"noreferrer noopener\" href=\"https:\/\/hbbadmin.dev.reliablepenguin.com\/?utm_source=blog&amp;utm_medium=content&amp;utm_campaign=hundredsworkflows-lauraneff\" target=\"_blank\"><span style=\"font-weight: 400;\">HoneyBook<\/span><\/a><\/li><li><span style=\"font-weight: 400;\">Which means\u2026 based on the due dates you set, it can do almost all the \u201cthinking\u201d for you of what needs to get done for every single project<\/span><\/li><li><span style=\"font-weight: 400;\">It allows you to stay consistent with your client experience across every project<\/span><\/li><li><span style=\"font-weight: 400;\">It\u2019s set up so detailed that it\u2019s easy to train someone on + no steps are missed or forgotten<\/span><\/li><li><span style=\"font-weight: 400;\">It makes you more efficient (like 10x more efficient)<\/span><\/li><li><span style=\"font-weight: 400;\">It\u2019s valuable for both you AND your client<\/span><\/li><li><span style=\"font-weight: 400;\">It has due dates (that are automated) for every task, email, subtask, questionnaire, and more so you never ever have to think about what to do for a client project ever again<\/span><\/li><\/ul>\n\n\n\n<h3 class=\"wp-block-heading\"><b>What every workflow needs to include:<\/b><\/h3>\n\n\n\n<ul class=\"wp-block-list\"><li><span style=\"font-weight: 400;\">Tasks<\/span><\/li><li><span style=\"font-weight: 400;\">Subtasks<\/span><\/li><li><span style=\"font-weight: 400;\">Due Dates<\/span><\/li><li><span style=\"font-weight: 400;\">Assignees (if <a class=\"wpil_keyword_link\" href=\"https:\/\/hbbadmin.dev.reliablepenguin.com\/blog\/how-to-delegate\" target=\"_blank\" rel=\"noopener\" title=\"delegating\" data-wpil-keyword-link=\"linked\">delegating<\/a> to others)<\/span><\/li><li><span style=\"font-weight: 400;\">Client Education Emails<\/span><\/li><li><span style=\"font-weight: 400;\">General (Proactive!) Email Communication<\/span><\/li><li><span style=\"font-weight: 400;\">Client Documents (questionnaires, pricing guides, etc.)<\/span><\/li><li><span style=\"font-weight: 400;\">Client Gift Reminders<\/span><\/li><li><span style=\"font-weight: 400;\">Client Meetings<\/span><\/li><\/ul>\n\n\n\n<h2 class=\"wp-block-heading\"><b>What Kind of Workflows Should Every Business Have?<\/b><\/h2>\n\n\n\n<p><span style=\"font-weight: 400;\">Once we know those two basic things, we can talk about the questions I get so often:<\/span><\/p>\n\n\n\n<p><i><span style=\"font-weight: 400;\">\u201cHow do I organize my <a class=\"wpil_keyword_link\" href=\"https:\/\/hbbadmin.dev.reliablepenguin.com\/blog\/client-management-workflow\" target=\"_blank\" rel=\"noopener\" title=\"client workflow\" data-wpil-keyword-link=\"linked\">client workflow<\/a>?\u201d<\/span><\/i><\/p>\n\n\n\n<p><i><span style=\"font-weight: 400;\">\u201cWhere do I even begin?<\/span><\/i><span style=\"font-weight: 400;\">&nbsp;<\/span><\/p>\n\n\n\n<p><span style=\"font-weight: 400;\"><strong>So today, I want to tell you exactly how I organize my client workflows!<\/strong><\/span><\/p>\n\n\n\n<p><span style=\"font-weight: 400;\">First, it\u2019s important to note that all my client workflows are inside HoneyBook. I have a workflow setup for each different service I offer, and each service has an inquiry workflow, and a booked workflow.<\/span><\/p>\n\n\n\n<p><span style=\"font-weight: 400;\">My photography business has the following:&nbsp;<\/span><\/p>\n\n\n\n<h3 class=\"wp-block-heading\"><b>Wedding &amp; Engagement Workflows<\/b><\/h3>\n\n\n\n<ul class=\"wp-block-list\"><li><span style=\"font-weight: 400;\">Wedding Inquiry<\/span><\/li><li><span style=\"font-weight: 400;\">Wedding Workflow (Booked)<\/span><\/li><li><span style=\"font-weight: 400;\">Wedding Album Workflow<\/span><\/li><li><span style=\"font-weight: 400;\">Engagement Session (No Wedding)<\/span><\/li><li><span style=\"font-weight: 400;\">Engagement Session (With Wedding)&nbsp;<\/span><\/li><\/ul>\n\n\n\n<h3 class=\"wp-block-heading\"><b>Other Photography Workflows<\/b><\/h3>\n\n\n\n<ul class=\"wp-block-list\"><li><span style=\"font-weight: 400;\">Brand Inquiry<\/span><\/li><li><span style=\"font-weight: 400;\">Brand Photography Workflow (Booked)<\/span><\/li><li><span style=\"font-weight: 400;\">Portrait Session General (Family, Maternity, Newborn)<\/span><\/li><\/ul>\n\n\n\n<p><span style=\"font-weight: 400;\">Once you know what workflows you need to create, start writing down everything you do from beginning to end of your client journey for EACH ONE. EVERY client touchpoint &#8211; from emails to client education to questionnaires to phone calls to meetings to internal tasks to complete your service from A-Z.<\/span><\/p>\n\n\n\n<p><span style=\"font-weight: 400;\">I always recommend that you start this off on a Google Doc, and then move into your CRM <\/span><b>because you have to first figure out the automation due date on every single email, task, questionnaire, etc.<\/b><span style=\"font-weight: 400;\"> And then you need to <\/span><b>create<\/b><span style=\"font-weight: 400;\"> every email, questionnaire, and document. (And thennnnn) you can put it into your CRM.<\/span><\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><b>How to Input Your Workflow into a CRM<\/b><\/h2>\n\n\n\n<p><span style=\"font-weight: 400;\">Once our Google Doc workflow is created, we can dive into a bit of the workflow creation inside your CRM:&nbsp;<\/span><\/p>\n\n\n\n<h3 class=\"wp-block-heading\"><span style=\"font-weight: 400;\">Within a workflow there are four MAIN action items you can do:<\/span><\/h3>\n\n\n\n<p>(At least, there are 4 in the HoneyBook tool! Every CRM is slightly different.)<\/p>\n\n\n\n<ul class=\"wp-block-list\"><li><span style=\"font-weight: 400;\">Create Tasks<\/span><\/li><li><span style=\"font-weight: 400;\">Send Emails<\/span><\/li><li><span style=\"font-weight: 400;\">Send Questionnaire<\/span><\/li><li><span style=\"font-weight: 400;\">Send Brochures<\/span> <span style=\"font-weight: 400;\">&nbsp;<\/span><\/li><\/ul>\n\n\n\n<h3 class=\"wp-block-heading\"><span style=\"font-weight: 400;\">Each action item has a \u201ctrigger.\u201d <\/span><\/h3>\n\n\n\n<p><span style=\"font-weight: 400;\">This is an approval setting and a date of when something should be activated. <\/span><\/p>\n\n\n\n<p><span style=\"font-weight: 400;\">These triggers are:<\/span><\/p>\n\n\n\n<ul class=\"wp-block-list\"><li><span style=\"font-weight: 400;\">After activating the workflow<\/span><\/li><li><span style=\"font-weight: 400;\">Before Project Date<\/span><\/li><li><span style=\"font-weight: 400;\">After Project Date<\/span><\/li><li><span style=\"font-weight: 400;\">After the previous step is complete<\/span><\/li><\/ul>\n\n\n\n<p><span style=\"font-weight: 400;\">This step is all about actually putting your workflow into your CRM and applying the proper workflow to every single client. Then, you can use the Task Management tool which allows you to do daily check-ins and complete what is due for each and every project in your business.<\/span><\/p>\n\n\n\n<p><span style=\"font-weight: 400;\">At a glance, and within minutes, you can send emails that are activated in your task management, send questionnaires with their proper email template, complete tasks outside of HoneyBook, and send Brochures to book your inquiring clients! <\/span><\/p>\n\n\n\n<p><span style=\"font-weight: 400;\">It\u2019s SO EASY to manage dozens of clients at a time, and I absolutely love the interface and simplicity of it all.<\/span><\/p>\n\n\n\n<p><span style=\"font-weight: 400;\"><strong>My workflow students have claimed to get more done in ONE DAY than they previously did in THREE WEEKS once they got their workflows set up and automated!
