That\u2019s why we think now is the time to carve out five minutes a day, over the next few days, to simplify a couple areas of your account that could use a little extra TLC.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">We\u2019ll go over best practices that you can use from now on to maintain a neat workspace, some tips and tricks you might not know about, and some general housekeeping reminders.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">If you\u2019re feeling extra ambitious you can start the clock for 1 hour right now and you\u2019ll have a clean slate to work from by the time you get to the bottom of this page. Ready, set, happy spring cleaning!<\/span><\/p>\n<h2><b>How to Clean Out Your Pipeline<\/b><\/h2>\n<p><span style=\"font-weight: 400;\">If your HoneyBook pipeline is giving you anxiety or just isn\u2019t the most accurate version of what you\u2019re actively working on right now, it might be time to clean things up a little bit. <\/span><\/p>\n<p><span style=\"font-weight: 400;\">As a best practice, you might want to consider doing these steps once a month or even once a week depending on how many inquiries you typically have, that way things won\u2019t pile up. Here are some quick steps to clean out your HoneyBook pipeline in under five minutes.\u00a0<\/span><\/p>\n<ol>\n<li><span style=\"font-weight: 400;\"> Start by clicking into the <\/span><b>Projects<\/b><span style=\"font-weight: 400;\"> tab to get a look at your pipeline.<\/span><\/li>\n<li><span style=\"font-weight: 400;\"> Now click into your inquiry stage and filter by <\/span><b>Recent Activity. <\/b><b><img decoding=\"async\" class=\"alignleft wp-image-33004 size-full\" src=\"https:\/\/hbbadmin.dev.reliablepenguin.com\/blog\/wp-content\/uploads\/2021\/03\/HoneyBook-Pipeline-Spring-Cleaning.png\" alt=\"HoneyBook Pipeline\" width=\"1450\" height=\"650\" \/><\/b><\/li>\n<li><span style=\"font-weight: 400;\"> Now bulk select anyone who you haven\u2019t communicated with in the last month (or whatever time frame feels appropriate to you).<\/span><\/li>\n<li><span style=\"font-weight: 400;\"> You can also use the bulk select option to move certain projects or jobs to another <\/span>stage<span style=\"font-weight: 400;\"> in the pipeline that better suits where they\u2019re at in your process as well. <\/span>\u00a0<\/li>\n<\/ol>\n<p><span style=\"font-weight: 400;\">To bulk select in your HoneyBook account, simply hover over a project and check the box that appears to the left. From there you can select all and just unselect the few that don\u2019t need to be moved or archived.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">You\u2019ll notice there is a list of reasons for archiving that you can choose from, so to take extra care in your effort to get more organized, you might consider bulk archiving in separate batches based on their reason.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Repeat these steps across each stage in your pipeline until you\u2019re only tracking the jobs that you\u2019re actively working on and voila!, your HoneyBook pipeline is just like new.<\/span><\/p>\n<p><span style=\"font-weight: 400;\"><strong>Pro tip:<\/strong> deleting a project should only be used as a last resort! Archiving allows you to clean things up without completely removing a project from your HoneyBook account forever.\u00a0<\/span><\/p>\n<h2><b>How to Clean Up Your Templates<\/b><\/h2>\n<p><span style=\"font-weight: 400;\">If you have to scroll a mile to find the template you\u2019re looking for anytime you need to email, bill or send a contract to a client, you might want to consider cleaning up your master templates section. Here are some quick steps you can take to clean up your HoneyBook Templates in under five minutes.\u00a0<\/span><\/p>\n<ol>\n<li><span style=\"font-weight: 400;\"> To get to the templates section in your HoneyBook account,<\/span><span style=\"font-weight: 400;\">\u00a0click <\/span><b>Tools <\/b>and <span style=\"font-weight: 400;\">then <\/span><b>Templates<\/b><span style=\"font-weight: 400;\">.<\/span><\/li>\n<li><span style=\"font-weight: 400;\"> We recommend starting with emails, but you can start wherever makes the most sense to you!<\/span><\/li>\n<li><span style=\"font-weight: 400;\"> To make things easier, switch from the grid view to the list view. tThen filter for <\/span><b>Date Created (oldest). <img decoding=\"async\" class=\"alignleft wp-image-33007 size-full\" src=\"https:\/\/hbbadmin.dev.reliablepenguin.com\/blog\/wp-content\/uploads\/2021\/03\/Templates-Spring-Cleaning.png\" alt=\"Templates\" width=\"1450\" height=\"800\" \/><\/b><\/li>\n<li><span style=\"font-weight: 400;\"> Now, to get rid of any old templates, you simply hover over them and hit the trash can icon.<\/span><\/li>\n<li><span style=\"font-weight: 400;\"> While you\u2019re here, consider clicking into any templates you don\u2019t recognize and check to make sure they&#8217;re relevant and aligned with your brand.<\/span><\/li>\n<li><span style=\"font-weight: 400;\"> The final piece is to make sure ALL your templates are appropriately named so when you go to use them later, you recognize them by their title alone.\u00a0<\/span><\/li>\n<\/ol>\n<p><span style=\"font-weight: 400;\"><strong>Pro tip: <\/strong>accurately naming your files and templates is really important to ensure you can easily navigate to the proper content later on in the middle of rapid-fire conversations with your clients!<\/span><\/p>\n<h2><b>How to Streamline Your Meetings<\/b><\/h2>\n<p><span style=\"font-weight: 400;\">Are you still playing email ping-pong with clients to find time to meet? Do your clients wait days to get a glimpse of your schedule? <\/span><\/p>\n<p><span style=\"font-weight: 400;\">Consider taking the next five minutes to set up the <a href=\"https:\/\/hbbadmin.dev.reliablepenguin.com\/blog\/how-honeybook-scheduling-elevated-consultations\" target=\"_blank\" rel=\"noopener noreferrer\">HoneyBook Scheduling<\/a> feature in your account and put your scheduling woes to rest once and for all.<\/span><\/p>\n<ol>\n<li><span style=\"font-weight: 400;\"> Navigate to <\/span><b>Tools <\/b>and <span style=\"font-weight: 400;\">then click <\/span><a href=\"https:\/\/hbbadmin.dev.reliablepenguin.com\/app\/scheduling\" target=\"_blank\" rel=\"noopener noreferrer\"><b>Scheduling<\/b><\/a><b>.<\/b><\/li>\n<li><span style=\"font-weight: 400;\"> Get started by clicking <\/span><b>+ New Session Type<\/b><span style=\"font-weight: 400;\"> and define what <\/span><i><span style=\"font-weight: 400;\">kind<\/span><\/i><span style=\"font-weight: 400;\"> of session you want to set up (video, phone call, in person, etc.). Then give the session a simple title so that your clients clearly understand what the meeting is about. Try something like \u201c30 min consult\u201d or \u201c1-hour process assessment\u201d.<\/span><\/li>\n<li><span style=\"font-weight: 400;\"> Be sure the <strong>D<\/strong><\/span><strong>uration<\/strong><span style=\"font-weight: 400;\"> of your session reflects how long you\u2019d like the meeting to be and include any instructions that you\u2019d like the client to receive via email. You can try something like \u201cCome prepared with any questions you have and at least two goals you\u2019d like to accomplish together over the next few weeks\u201d or \u201cdon\u2019t forget to review my helpful style guide document before our session!\u201d<\/span><\/li>\n<li><span style=\"font-weight: 400;\"> Now you\u2019ll adjust your <\/span><b>Availability<\/b><span style=\"font-weight: 400;\"> to align with the times you&#8217;re available for this kind of meeting by hovering over the time slots on any given day. Don\u2019t worry about considering other events on your calendar when you set your availability, HoneyBook will automatically take your calendar into consideration when displaying available time slots to your clients. Most people will simply use this area to showcase business hours. You can actually control what we notify you about so we\u2019ll only reach out with what\u2019s most important to you! <\/span><\/p>\n<p><span style=\"font-weight: 400;\">Let\u2019s review 3 easy steps to consolidate your HoneyBook notifications!<\/span><\/p>\n<ol>\n<li><span style=\"font-weight: 400;\"> The first place to check is the <strong>Bell Icon<\/strong> on any page in your HoneyBook account. Click here and then click the toggle icon to bring up your <\/span><a href=\"https:\/\/intercom.help\/honeybook-5891e2a409ff\/en\/articles\/2459619-about-notifications\" target=\"_blank\" rel=\"noopener noreferrer\"><span style=\"font-weight: 400;\">notification preferences<\/span><\/a><span style=\"font-weight: 400;\">. You\u2019ll probably want to leave the top four turned on, but the bottom three aren\u2019t as crucial. <img loading=\"lazy\" decoding=\"async\" class=\"alignleft wp-image-33016 size-full\" src=\"https:\/\/hbbadmin.dev.reliablepenguin.com\/blog\/wp-content\/uploads\/2021\/03\/HoneyBook-Notifications-Spring-Cleaning.png\" alt=\"HoneyBook Notifications\" width=\"950\" height=\"650\" \/><\/span><\/li>\n<li><span style=\"font-weight: 400;\"> Next step is your preferences tab. Hover over your profile picture, click <strong>Company Settings<\/strong>, then navigate to the <\/span><a href=\"https:\/\/hbbadmin.dev.reliablepenguin.com\/app\/settings\/company\/preferences\" target=\"_blank\" rel=\"noopener noreferrer\"><span style=\"font-weight: 400;\">Preferences<\/span><\/a><span style=\"font-weight: 400;\"> section and scroll down to <strong>Notifications<\/strong>. Here you can toggle off any unnecessary emails and product notifications.\u00a0<\/span><\/li>\n<li><span style=\"font-weight: 400;\"> The final step is the mobile app. There are two places you can control mobile app notifications. The first is from the <strong>Notification Center<\/strong> on your phone and the second is from within the HoneyBook app itself. From inside the app you can turn notifications off entirely by clicking <strong>Settings<\/strong> and toggling notifications off. From your phone\u2019s <strong>Notification Center<\/strong>, you can control how the notifications appear (banner, badge, etc.) or if they appear at all.<\/span><\/li>\n<\/ol>\n<h2><b>How to Clean Up Your Settings<\/b><\/h2>\n<p><span style=\"font-weight: 400;\">There are a couple features in your settings that you can customize to make your life easier and more organized. You might be aware of them already, but let\u2019s take the next five minutes to double check that make sure you\u2019ve got everything set up the way you need it to be.\u00a0<\/span><\/p>\n<ol>\n<li><span style=\"font-weight: 400;\">Navigate to <strong>Company Settings <\/strong>via your profile picture in the top right corner of your HoneyBook account. Then select <\/span><a href=\"https:\/\/hbbadmin.dev.reliablepenguin.com\/app\/settings\/company\/preferences\" target=\"_blank\" rel=\"noopener noreferrer\"><span style=\"font-weight: 400;\">Preferences<\/span><\/a><span style=\"font-weight: 400;\"> from the left-hand tab.<\/span><\/li>\n<li><span style=\"font-weight: 400;\"> Here you can <\/span><a href=\"https:\/\/help.honeybook.com\/en\/articles\/2209218-customizing-lead-sources\" target=\"_blank\" rel=\"noopener noreferrer\"><span style=\"font-weight: 400;\">customize your Lead Sources<\/span><\/a><span style=\"font-weight: 400;\">, <strong>Project Types<\/strong>, and <strong>Project Details<\/strong>. Each of these are essentially smart fields that can pull the information your clients enters into your <strong>Contact Form. <\/strong>This includes the project details as well as payment schedules, contracts, and more. Customizing these and adding them to your Contact Form can save you a lot of time. It also ensures your HoneyBook account accurately reflects what it is you do, who your clients are, and how you like to work with them. <\/span><\/li>\n<\/ol>\n<p><span style=\"font-weight: 400;\">Putting in a little work now to set your settings up correctly will make it easier to understand where your leads are coming from later in the <\/span><a href=\"https:\/\/hbbadmin.dev.reliablepenguin.com\/app\/reports\/analytics\" target=\"_blank\" rel=\"noopener noreferrer\"><span style=\"font-weight: 400;\">Leads Report<\/span><\/a><span style=\"font-weight: 400;\"> or even just sending a contract to a new client.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">For example, if you find yourself adding notes into every single project about a specific job detail, you might want to consider adding a custom <strong>Project Detail<\/strong> field for it instead.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">Or if you\u2019ve shifted gears a bit since the first time you created your <\/span><a href=\"https:\/\/help.honeybook.com\/en\/articles\/2209112-understanding-project-types\" target=\"_blank\" rel=\"noopener noreferrer\"><span style=\"font-weight: 400;\">Project Types<\/span><\/a><span style=\"font-weight: 400;\">, maybe it\u2019s time to get rid of some service categories you no longer offer. Payment reminders can save you a ton of time and ensure you get paid on-time, every time!\u00a0<\/span><\/li>\n<\/ol>\n<h2><b>How to Clean Up Your Booking Process<\/b><\/h2>\n<p><span style=\"font-weight: 400;\">Are you still sending <a href=\"https:\/\/hbbadmin.dev.reliablepenguin.com\/online-contract\">online contracts<\/a> and <a href=\"https:\/\/hbbadmin.dev.reliablepenguin.com\/online-invoices\">online invoices<\/a> separately? The HoneyBook <a href=\"https:\/\/hbbadmin.dev.reliablepenguin.com\/proposal-software\">proposal software<\/a> COMBINES your invoice and contract into one powerful booking file.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">This helps you save time and get your client\u2019s what they need, all in one place.\u00a0 You can even send at Proposal right from your phone! Did we mention the contract will even populate with the job specifics, customized services and payment schedule details? Yeah, it\u2019s that smart!<\/span><\/p>\n<ol>\n<li><span style=\"font-weight: 400;\"> From inside any project click the <\/span><b>New File<\/b><span style=\"font-weight: 400;\"> button and select <\/span><b>Proposal<\/b><span style=\"font-weight: 400;\">.\u00a0<\/span><\/li>\n<li><span style=\"font-weight: 400;\"> Start from a blank proposal. Once you\u2019re inside the file you can start customizing the services and pricing this particular client is going to receive from you. You can hover over any item to delete it via the trash can icon or click your cursor anywhere in the text or pricing to personalize even further.<\/span><\/li>\n<li><span style=\"font-weight: 400;\">Customize the payment schedule amounts and due dates to fit your business needs and that needs of your client.\u00a0<\/span><\/li>\n<li><span style=\"font-weight: 400;\">Finally, make sure the <a href=\"https:\/\/hbbadmin.dev.reliablepenguin.com\/online-contract\">online contract<\/a> looks good to go.
